PRIMARY PURPOSE:
Key position in the Development Department that oversees data tracking, gift processing, and prospect research through Raiser’s Edge CMS and other software products, and provides customer service to donors and branch staff. Specifically, the position creates and analyzes campaign reports and other development reports. Supervises the Development Coordinator who is responsible for gift processing and donor services. Oversees the Raiser's Edge user group for the Association; oversees back office and online functions of all campaigns; oversees donor tracking, and data mining; conducts prospect research. Works out of the Metropolitan Office. Reports to the Vice President of Development.
ESSENTIAL DUTIES/FUNCTIONS:
PROSPECT RESEARCH & REPORTS (80%):
Oversees reporting, dashboards, solicitation (digital and direct mail), collection, and acknowledgement efforts for all Y campaigns and other monetary and in-kind donations utilizing Raiser’s Edge NXT functions. Leads Raiser’s Edge user group in best practices.
- Reporting: Proactively uses prospect research and data mining effectively to deliver existing and new custom reports through the utilization of queries, exports, wealth screenings, mail, plug-ins, other reporting functions and Excel tools. Coordinates with IT Department to produce accurate membership/program-related donor reports. Monitors and reports fundraising progress for management and YUSA. Works with development staff in creation of weekly campaign reports, campaign summary analyses, event mailing lists, and donor recognition honor rolls.
- Stewardship: Oversees donor acknowledgments, pledge billings, association- wide donor stewardship mailings and email blasts. Provides guidance to branches regarding Raiser’s Edge or any custom reports needed.
- Solicitation: Oversees the Association’s Annual Campaign solicitation materials as it relates to Raiser’s Edge and any data downloads relating to any other solicitation campaigns.
- Prospect Research: Works closely with Vice President of Development to identify new prospects and create prospect and donor profiles through research and rating systems.
- Prospect Management: Works closely with Vice President of Development to track solicitation strategies and proposals for individual prospects as well as for foundations and corporations.
- Collection: Oversees Association pledge billings and collection reports. Ensures all employees follow Standard Operating Procedures in these areas.
Oversees and maintains the integrity of all donor systems for the Association: Leads and trains Raiser’s Edge Users group; creates, updates and enforces Standard Operating procedures; ensures quality of donor data.
- Monitors and oversees the data entry process of all pledges and gifts: Works with accounting department and branch staff to trouble shoot areas of concern. Processes gift/pledges and adjustments for Association.
- Posts gifts in Raiser’s Edge monthly for upload to the General Ledger and ensure fund mapping in Raiser’s Edge is completed, as directed by the Accounting Department.
- Training and Policies: Develops and updates Raiser’s Edge policy and procedures manual. Provides timely staff training to ensure accurate data entry and confidentiality. Prepares confidentiality and security briefing materials and trains Raiser’s Edge User’s Group and other users as appropriate. Provides timely assistance with donor/donation related questions and issues on an ongoing basis.
OTHER DUTIES (5%):
Provides leadership and coordinates efficient processes and procedures to meet administrative needs. Monitors Association-wide impact measurements as it relates to grant needs. Other duties as necessary.
QUALIFICATION REQUIREMENTS:
SKILLS/KNOWLEDGE:
- Three years of experience using CMS system, preferably Raiser’s Edge.
- Demonstrated advanced proficiency in MS Office computer skills.
- Strong written and verbal communication skills.
- Organized, detail-oriented.
- Self-starter.
- Sound judgment.
- Works with confidential information and must maintain a high level of professionalism and confidentiality.
- Ability to multitask, anticipate needs and prioritize work in a fast-paced office.
- Bachelor’s Degree preferred.
- Experience working for a non-profit and/or development operation preferred.
- Experience with crystal reporting and website maintenance a plus.
- Supervisory experience preferred.
- Strong database/data entry, data analysis and Excel spreadsheet and graphs experience.
